A group starts more easily when people can tell what they are being invited to. "Dungeon?" leaves a few questions. "A relaxed two-hour run, newcomers welcome, healer needed" gives people a way to answer.
Say what you want to do and how you want the evening to feel. A practice run and a fast clear can both be good guild activities. People need to know which one they are joining.
Mention the realm, time and expected finish. If the meeting crosses timezones, let the website display the saved time locally and confirm the plan in Discord.

A member can have a verified main and several verified alts. Choose the character for this run before joining the roster, so the organiser can see the role and class being offered.
The organiser can specify role capacities and class needs. A full role can still have a reserve list. Being interested in Discord does not create a website signup on its own.
If you cannot make the run, withdraw when the roster permits it or tell the organiser. Somebody on the reserve list may be waiting for your place.
For future invitations, availability and reminder choices are separate opt-ins. Pick the hours that suit you.
