The public website is open. Newsletter signups and account registration are currently closed. It uses no advertising cookies or visitor analytics. This notice describes the website’s current behaviour and the planned member services. Provider arrangements and complete signup processes are being reviewed before registration or subscriptions open.

Who is responsible

The operator and data controller is Sophia Antonopoulou, operating from Greece. Contact [email protected] for privacy questions or requests.

An adults-only community

Rakija Raiders is for people aged 18 and over. When accounts and newsletter signups open, you will be asked to confirm that you are 18 or older. We do not request your birth date or identity documents.

The availability planner

When you choose to copy your availability, your selected days, role, timezone and time are saved in your browser’s local storage. They aren’t sent to a server. Clear this site’s browser data to remove them. The planner also works when storage is blocked.

Newsletter choices

The newsletter is not yet accepting subscriptions. Once it opens, signing up will require your permission and confirmation of your email address, with an unsubscribe link in every newsletter. Newsletter delivery will use Resend with separate consent and email confirmation. Consent can be withdrawn through the unsubscribe link. Unconfirmed requests are removed after seven days once their confirmation links have expired. Confirmed subscriptions remain until withdrawal or erasure. A minimal unsubscribe record prevents further sends; contact us to erase that record too. Resend open and click tracking are disabled.

If you dismiss an automatic newsletter invitation or choose “Don’t ask again”, your browser remembers that choice. It stores no email address or tracking identifier. Clear this site’s browser data to reset the preference. The footer newsletter button remains available.

Discord links

Following a Discord invite takes you to Discord, where Discord’s privacy policy (opens in a new tab) applies. Discord is not embedded in this website. Copying an availability message does not send it; you choose whether to share it.

Member services when accounts open

A member account will hold your email, chosen guild name, a password hash, 18+ declaration, linked Discord ID, verified main and alt characters, group signups, challenge evidence, badges and titles. A guild name or nickname is sufficient; we do not ask for your real-world identity. Verified members can see guild profiles and character rosters. Availability and notification settings are private to the account. Evidence notes and initiation exception reasons are visible to authorised staff.

Account and guild organisation data will be used to provide the services you request. Invitations and reminders are optional, separate choices that default off. They are rechecked before Discord delivery. Newsletter consent is separate from membership. No automated decision assesses whether you belong in the guild: participation is witnessed by guildmates, and officers or administrators can review an initiation exception.

Purposes and legal bases

We use necessary network information to operate and secure the website under our legitimate interest in providing a reliable community service (GDPR Article 6(1)(f)). We use contact correspondence to respond to your enquiry under that same basis and process statutory privacy requests to fulfil legal obligations (Article 6(1)(c)). Newsletter marketing, when enabled, relies on your consent (Article 6(1)(a)). The basis and terms for account services will be confirmed before registration opens; optional notification choices never enrol you in marketing.

Providers and information sharing

Netcup hosts the website and guild database. Cloudflare delivers and protects web requests and stores encrypted recovery copies in R2. Proton Mail handles messages to the contact address. Resend will send requested verification and security emails and separately consented newsletters. BeeRanked manages published journal content; it does not receive member passwords, private availability or the guild database. We do not sell member data.

Discord linking and guild commands will share your Discord identity and relevant group actions with Discord. Group announcements and opted-in invitations appear in the guild channels, where other server members can see them. We do not read private messages or collect your chat history. You can manage notification choices and unlink Discord through account settings. External social links open the providers’ own sites; their privacy policies apply there.

Some providers operate internationally. Their processing terms, locations and applicable transfer safeguards are part of our activation review; we will update this notice before account or newsletter collection opens. Following an external social link may involve processing outside the EEA.

Retention and deletion

Unverified accounts and pending newsletter requests are removed after seven days once active confirmation links have expired. Expired authentication material is removed on scheduled cleanup. Member records and earned guild history remain while the account exists. Account erasure removes the member’s characters, signups and personal associations in shared guild records; shared events may remain with an anonymous system author.

Administrative activity is kept for 90 days, Discord replay receipts for seven days, and completed notification records for 30 days. Short-lived Discord reply tokens are encrypted and cleared after delivery, expiry or account erasure. Revoked initiation exceptions are removed after 90 days. Confirmed newsletter subscriptions and minimal suppression records are kept until withdrawal or erasure, as described above.

Recovery copies are encrypted, with a 14-day server and 30-day offsite retention policy. Expired copies are removed during the next scheduled daily backup cleanup. They are restricted to recovery, not ordinary guild use. A recovery must reconcile later erasures and unsubscribes before any accounts or sending resume. Contact correspondence is reviewed separately when resolving your request.

Hosting and contact

The website runs on our existing Netcup server in Europe. Cloudflare provides DNS, HTTPS proxying and protection. These providers process network information such as IP addresses, requested pages and connection details to deliver and protect the website. We do not enable visitor analytics or advertising. You can contact us at [email protected]. Requests to access, correct, export, restrict or erase personal data can be sent to the contact address. Where applicable, you may object to processing or withdraw consent. We may need proportionate verification of a request. You can also complain to the Hellenic Data Protection Authority (opens in a new tab), or the competent authority where you live or work. We aim to respond to rights requests within one month, subject to the extensions permitted by law.
